This Privacy Policy explains how Aicmark (“we”, “us”, “our”, website aicmark.com) collects, uses, stores and protects information relating to you and your students. By using the service you confirm that you have read and understood this policy. If you register for a school or organisation, you confirm you are authorised to do so and have given any notices required to students or parents under your policies and applicable law.

1. Who we are

Aicmark provides AI-assisted marking of homework and exam papers, student performance records, same-year comparisons and related tools for teachers and education organisations, primarily in Hong Kong and other regions.

2. Information we collect

Account data: such as email, name, school name, plan type (Basic / Premium / Admin) and sign-in related information. We also send account verification and password-reset codes to your email (please do not reply to those system messages).

Student files: such as student code, name, year level, notes, and assessment records linked to that student.

Homework / paper and assessment data: files you upload are sent for AI analysis; we keep results, scores, comments, error tags, peer-comparison summaries, integrity / off-topic indicators, and the assignment language you select (e.g. Chinese or English).

Technical data: such as IP address, browser type, sign-in times, server logs and records needed for security.

3. How student work and performance are used (important)

Student homework, exam papers or related files you upload are sent to our chosen AI provider (currently xAI Grok) for marking and text analysis, to produce scores, comments, error explanations and improvement suggestions.

Analysis results are stored in our database as that student’s learning record, and are used to track progress, repeated mistakes, generate student reports, and (where settings allow) contribute to a same-year / same-age, same-region, same-assignment-language comparison database.

Uploaded files are analysed in real time; we do not permanently store the original PDF / image / Word files. We retain analysis text, scores and structured marking results. Do not upload sensitive personal data unrelated to assessment.

As the teacher or account holder, you are responsible for ensuring uploads are lawful and appropriate, and that any consents or notices required by school policy or law have been obtained.

4. How we use information

To provide, operate and improve marking, reports, mark alignment / calibration, student files and account features.

For same-year comparisons, error-type statistics and service improvement (preferring de-identified or aggregated data where practical).

For quotas, security, fraud prevention, troubleshooting and support.

Where required by law or to protect rights and safety.

5. AI processing and third parties

To deliver assessments, file content and necessary context (e.g. title, year level, past-history summaries) may be transmitted to an AI provider. Those providers process data under their own terms and privacy policies; we send only what is reasonably needed to provide the service.

Hosting, domain, database and infrastructure may be provided by cloud vendors (e.g. Alibaba Cloud). We require reasonable security measures.

6. Storage and retention

Account, student and assessment records are stored on our servers / database until you delete them, the account is disabled, or we retain them as needed for operations and law.

Backups may be kept for a period for disaster recovery. Deletion requests may complete only after backup cycles expire.

7. Security

We use reasonable technical and organisational measures (such as HTTPS, access controls and password hashing). No internet transmission or electronic storage is completely secure; please keep your password safe.

8. Your rights and choices

You may manage student files and assessments after sign-in (subject to plan permissions). To correct account data, or request export or deletion of account / student-related records, contact us using your registered email.

Where the Hong Kong Personal Data (Privacy) Ordinance or other laws apply, you may have rights of access and correction; we will respond as required by law.

9. Children and student data

The service is not intended for children to register themselves. Student-related data is managed by teacher or school accounts. Do not use minors’ identifiable data for purposes other than assessment.

10. Changes

We may update this policy and will show the update date on this page. For material changes we may notify you on the sign-in page or by email. Continued use means you accept the updated policy.
